Automating student registration at NookTek
A two-hour manual registration — application, screening, interview prep, enrollment — rebuilt into a two-minute automated pipeline that runs itself.
The challenge
Registering a new student was a two-hour manual slog: staff re-keyed data from the external application form, prepared interview questions by hand, and set each student up across systems. At an average of 20 students per cohort, onboarding ate days of staff time — and the bottleneck capped how fast NookTek could grow.
What we built
Our engineers embedded with NookTek and automated the pipeline end to end:
- Application capture — pulls each submission straight from the external website form — no re-keying.
- Automated interview questions — generates tailored interview questions for each applicant automatically.
- One-click enrollment — registers the student across NookTek's systems in a single automated flow.
- Two minutes, start to finish — the whole journey — application to enrolled — completes in about two minutes.
The outcome
Registration went from two hours to two minutes per student — roughly 60× faster, and about 39 staff-hours reclaimed on every 20-student cohort. Staff moved from data entry to actually supporting students, and enrollment stopped being a growth bottleneck.
